Blockouts

General guide to explaining and creating blockouts

This guide explains how to create blockouts in Now Book It in 2 different ways.

  1. Via the Diary (quick on the fly specific to one day)
  2. Via the Diary settings (recurring,Holidays, scheduling)

Step-by-step Guide for Blockouts

On the fly Blockouts from the Diary.

First we will run through on the fly block outs, these can be put in place for as short as an interval and as long as the day. They can be for 1 table or all tables depending on your requirement for the Blockout.

  1. Ensure you are log in to the Diary view to add on the fly Blockouts
  2. Select the 3 dots located in the bottom right corner of your Diary as show below

A window will pop out and you will be able to select from one of the 3 following options:

New Blockout - Will create a new Blockout

Edit Blockouts - allows user to edit Blockouts

Unallocate Bookings - Will unallocte all tables linked to bookings and push all customers in to the waitlist

 

  1. Select New Blockout from the list
  2. You will then notice the time line become active, as shown below with a number of tick boxes along the timeline and along the table list.

  3. First, where you see New Blockout in the bottom right, enter in the Name for your Blockout, this will appear in your your timeline and alert staff of what the Blockout is for.
  4. Next select the Times in the time line you would like the Blockout to run for
  5. Next select the Tables you would like to apply the Blockout to
  6. You can select Select All to apply to all tables it you wish
  7. Select save
  8. You will now see your Blockout in the timeline.

Recurring Blockouts from the Diary settings.

Next we will run through the recurring Blockouts that in located in the your Diary settings. These Blockouts are used for any recurring Blockouts you want in place, weekly daily, yearly etc. These can be used to schedule public holidays and can be used for the whole venue or as a single table Blockout.

  1. Select the Hamburger menu in the top left side of the Diary view (which are the 3 lines next to venue name)

  2. Select Settings from the Menu

  3. Select Blockouts from the under the Diary heading

  4. Select the + Button on the top right side of the Blockouts panel
  5. A new window will open allowing you to enter in the details for your Blockout

  6. Enter in the Name of the Blockout
  7. Enter in the Type of Blockout required
  8. Additional fields will appear dependant on your choice, as shown above Weekly will allow you to select specific days, start and end times and start and end dates and any dates you would like to exclude. Dependant on the Type these will change.
  9. Complete ALL required fields

  10. Next select the Sections you would like to Blockout
  11. You can select All sections or single sections
  12. You can also select single or a number of different tables from under Individual tables to Blockout
  13. You will just need to select the Layout (based on your floor plan) in which the table are found and then add them to the Blockout Tables list

  14. Select Save and Blockout will either be enforced or will be schedule on selected dates and times.

 

Deleting Blockouts from the Diary.

Deleting Blockouts from the Diary can be done quickly, either from the Diary view or again from the Settings area.

  1. Removing Blockouts from the Diary you will need to again select the 3 Dots in the bottom right of the diary window

  4. Select the Trash Can Icon, next to the Blockout you would like to delete
  5. The Blockout will now be deleted from the timeline

  4. Select the Trash Can icon next to the Blockout you would like to delete
