Events - Frequently Asked Questions

Here are a few tips and tricks when trying to achieve specific parameters within your event.

1. How do I hide our Lunch/Dinner service to stop customers booking on the day of the event?

Eg: You are holding a Melbourne Cup event within the venue, and you are not offering regular lunch and/or dinner service that day. Here's how to remove those services from your widget.

If we take a look at our schedule for the day that the event is being held, our Lunch service begins at 12pm:

Our Melbourne Cup event starts at 1pm, so we've set the event start time to be 1pm:

However, this would mean that our Lunch service is still going to show on the widget, as it starts before the event.

To hide Lunch, we would need to set our Event start time to be the same or earlier than the Lunch service. The event will then act as a "blanket", and cover that service.

2. We don't want to allocate bookings to tables, as it is a standing event, and we only want to take a maximum of 100 people for the event. How do I achieve this?

Eg: You are hosting a cocktail style event and the layout for the evening will be roaming canapes and high bar tables, without any seating allocations, and you are catering for a maximum of 100 guests. You can achieve this by creating a single table layout that you would allocate to the event only, with a maximum capacity of the number of guests you are able to book. Here's how:

Head to your Settings and click on Layouts, and click on the Plus sign in the top right corner:

From here, create a layout that is one singular table, with the max capacity set to 100, and ensure you tick the Shared box on the far right hand side. This is telling the system you have one "table" for the event, that will seat a maximum number of 100 people, and it is a shared table, meaning multiple bookings can book on the same table:

Save your new layout, then head to your Event, and click on the Sections & Layouts tab within the event. Ensure you select your new layout as the only one you are using for the event, and all other layouts are marked as Section Not Used or Section Closed:

Click Save once you've made any changes.

3. How can I cap the event at a certain pax level at different times? I only want to allow 30 covers at 1pm, 20 covers at 2pm and 10 covers at 3pm.

This can be achieved by enabling your custom pax per interval system. Here's how:

Click on the Settings tab within your event and ensure the Custom Pax per Interval System is ticked on, it should show you all of your booking interval times:

Within the interval times is where you can enter the maximum number of covers you are wanting to allow at those times.

Any interval left blank is unlimited, and any interval that has a zero will disable any customers from booking that specific interval, as per below:
