How to create a new tenant in the Sadie admin portal and connect with Now Book It

Creating a New Tenant in Sadie 

Follow the steps below to create a new tenant in the Sadie admin portal and complete the required integrations with Now Book It.

 

Step 1: Create the Tenant in Sadie 

  • Log into the Sadie admin portal under the Administrative Team.
  • Click on System Management.
  • Click Create Tenant in the top-right corner.
  • Fill in all relevant business details.
     
    • Venue ID - found in the Now Book It admin portal.
    • NBI Access Key - To generate this:
      • Go to the Subscription tab in the NBI admin account.
      • Make sure Sadie UI is ticked.
      • Scroll down and ensure API Connect is also ticked.
      • Click Open Dashboard in the top-right corner.

Step 2: Configure Now Book It Integration 

  • In Now Book It Connect, go to Integrations.
  • Click the + in the top-right corner.
  • Choose Sadie as the POS vendor name.
  • Click into the next tab, Bookings:
  • Enable Bookings Integration.
  • Click Save.
  • Once saved, copy the API Key for Sadie.
  • Paste this key into the NBI Access Key field in the tenant creation page of Sadie.

Step 3: Configure Booking Settings in Sadie 

 

Under the Bookings tab in Sadie: 

  • Ensure the following are enabled:
  • Payment Reservation Allowed
  • Allow Sadie to Have the Caller’s Phone Number for Booking

Step 4: Set Up Transfer Settings 

 

Under the Transfers tab: 

  • Enter the venue’s original contact number in the Shared Number field.

This will auto-populate all number fields. 

  • Make sure each Transfer Reason has a name (can be the same as the reason).
  • Add a Max Reservation Capacity for the Large Reservation Transfer.
  • You can copy this from the “Maximum number of people allowed in an online booking” in the Widget Settings in the NBI admin portal.

Step 5: Working Hours 

  • Leave default hours as 9am–5pm.

The venue is guided to update this in their onboarding, depending on their specific needs (e.g. kitchen hours, opening times, etc.). 

Step 6: Admin Settings 

  • No need to change anything here except:
  • Set the correct Timezone for the venue’s city.
  • Select the appropriate Billing Plan found in the Hubspot deal (default is Starter). 

Step 7: Set Up SMS for the Venue (If Not Already Enabled) 

 

In the Now Book It admin portal

  • Go to SMS Setup.
  • Click Set Up SMS.
  • Fill in the details:
  • Venue name
  • Client’s email address
  • Click Set Up Contract and Agree to the Charges.

These charges are absorbed by us on the client’s behalf. 

Then: 

  • Go to SMS Settings and enable:
  • “Will you allow customers to cancel their booking by SMS”
  • “Will you allow customers to edit their booking by SMS”

 

Step 8: Finalise Sadie AI Integration Settings 

In the Sadie AI Integration Settings

  • Add the Booking Guarantee Amount Per Guest (for any pre-authorisations).
  • Set Payment Confirmation Timeout to 30 minutes (we can confirm with the customer later if changes are needed).

 

 

Step 9: Update HubSpot 

  • Once all steps are complete, move the ticket in HubSpot from

“New Customer” to “Tenant Created”
